Get Ready to Integrate Microsoft with ZAP IN
Before you get started, make sure you know what Microsoft account you are going to connect with ZAP IN. For the Microsoft Teams messaging feature to work correctly, we highly recommend that you or your IT department create a dedicated account in your Microsoft directory for this purpose (see below).
This account should be given the name "ZAP IN" and should be assigned the "Application Administrator" or "Cloud Application Administrator" role.
Getting Started with Microsoft Integration
Sign in to your ZAP IN Dashboard and click "Profile" in the bottom left
Click "Integration" in the top menu
Scroll down to "Microsoft" and click "Integrate". A page from Microsoft should open¹. Sign in with the Microsoft account that has been created at your organization for this purpose.
Return to the ZAP IN Dashboard. You should now see a green "Connected" message in the Microsoft integration box, identifying the connected account.
Thats it! You are now fully connected with Microsoft. Your Here-To-See and Preauthorized lists will come from your Microsoft Azure Directory and ZAP IN notifications will appear on Microsoft Teams.
Everyone in your organization can also use the ZAP IN for Outlook add-in! Follow our instructions about the Organization Code to set this up for your organization.
You can stop here or read on to learn how to fine-tune the behaviour of these features.
¹ ZAP IN never receives your Microsoft account password.
Microsoft Teams
Any notifications sent by ZAP IN will also be sent as a Microsoft Teams notification if the recipient's email address belongs to someone in your Microsoft directory!
Configuring Microsoft Teams Notifications
You can control whether members of your organization receive Microsoft Teams Notifications from ZAP IN, for each building, by visiting the Microsoft Teams configuration page.
Select the building
Click the gear "workbench" icon
Choose "Microsoft Teams" from the "Building" menu at the top of the screen. Microsoft Teams only appears in this menu if your ZAP IN account is integrated with Microsoft.
On this screen you can enable or disable the Microsoft Teams notifications for the building.
Please note: Microsoft Teams notifications are simply chat messages sent by the user who integrated their account with ZAP IN. This is why we strongly recommend that a special account named "ZAP IN" is created in your Microsoft account for this purpose.
Azure Active Directory
If you are using the Here To See field or a Pre-Authorized visitor type, ZAP IN will now populate this field by searching your Microsoft Azure Active Directory.
You can enable/disable this feature for each Building on your account, and additional configuration options are available for each Visitor Type.
To Enable or Disable Microsoft Azure AD Directory Integration:
Select the building
Click the gear "workbench" icon
Choose "Directory Integration" from the "Building" menu at the top of the screen
On this screen you can choose your Directory Integration, such as LDAP or Microsoft Azure AD. Only one may be active at a time. Click on the "Microsoft Azure AD" tab to enable or disable the directory integration for that building:
To Configure who is Included in the Microsoft Directory Integration Search
Navigate to the Fields - Directory Search page. Note that the Fields menu is specific to each Visitor Type. If you are using multiple visitor types, you will need to set up the configuration for each one.
On this page you can choose which of the Groups in your Microsoft Azure AD you want the Here-To-See feature to include in its search. By default, all users in your directory will be included:
By disabling "Search All Users in Azure" you can search only specific groups:
