How to print Badges & Gate Slips

Customize visitor badges and gate slips, print more than one copy, and print again from the dashboard when needed.

ZAP IN can print badges and gate slips when visitors sign in or sign out. You can use badges, gate slips, or both.

You turn each of these on or off separately for each visitor type.

This feature allows you to customize the appearance of your visitor badges by adding your logo, including photos and changing the wording on the Visitor Bar displayed. 

In order to set-up visitor Badges, follow these steps below:  

  1. Login to your ZAP IN account. To login, click here. 

  2. From the left side panel, click on the gear icon & then click on a specific Building to activate the slider panel.   

  3. Click the arrow of the slider pane & select a Visitor Type. 

  4. Hover your cursor over Set Up on the workbench and then click on Badges. 

5. Enter the appropriate title in the title bar based on the visitor type (e.g. students, contractors, visitor etc.)  

6. Under the Badge logo, click on Choose file to upload your company logo. 

7. Click on the slide icon to include Photo Capture; it will take a selfie of your visitors upon their sign-in. Your visitors latest sign-in photo is used for the badges. 

8. Select Direct printing as your Print method. 

Printing via PDF

ZAP IN provides their users with the option of customizing the sizes of their badges by printing via PDF. 

In order to print custom sized badges via PDF, follow the steps below: 

  1. Navigate to Print method and select PDF. 

  1. Customize the numbers and orientation of your badge size to suit your needs. 

  2. Click Save to enable your changes.

Badges will be emailed in a PDF file format. The badge will be emailed as a PDF attachment therefore it will be printable by any colour laser/ inkjet printer. 

Set up gate slips

Gate slips are separate from badges. You can turn them on for sign-in, sign-out, or both.

  1. Under Gate Slips, turn on Enabled on Sign-In and/or Enabled on Sign-Out.

  2. (Optional) Set Quantity next to each option you turn on (1–10). Sign-in and sign-out can have different quantities.

  3. Enter a Gate Slip Title (max 24 characters).

  4. Choose a Print method (this setting is shared with badges for this visitor type).

  5. Click Save.


Choose a print method

Under Print Method, choose one option for this visitor type:

Off

Nothing is printed or emailed.

Direct printing

Prints to a label printer connected to your ZAP IN iPad/device.

  • Direct printing is only available when Printer Configuration is turned on for the building.

  • Use this when you want physical badges and/or gate slips at the kiosk.

Print more than one copy

Use Quantity when you need more than one physical copy at sign-in or sign-out (for example: one badge for the visitor and one for security, or extra gate slips for different desks).

  1. Open Badges & Gate Slips for the visitor type.

  2. Turn on the badge and/or gate slip you want.

  3. Set Quantity beside it (1–10).

  4. Make sure the Print Method is set to Direct printing.

  5. Click Save.

How quantity works

  • You can set quantity separately for visitor badges, sign-in gate slips, and sign-out gate slips.

  • At each automatic sign-in or sign-out, ZAP IN prints that many identical copies.

  • If a gate slip spans more than one page, one “copy” means the full set of pages for that slip.

  • Quantity does not turn badges or gate slips on or off. Use the Enabled switches for that.


Print a badge or gate slip again from the dashboard

If a badge or gate slip is lost, damaged, or never printed (for example, after a printer issue), you can print it again from the visitor’s record.

  1. Open the visitor’s record in the dashboard.

  2. Click the print icon (printer symbol).

    • The tooltip may say Reprint Badge, but you can also print a gate slip from here.

  3. If more than one option is available for that visit, choose what to print:

    • Badge

    • Sign-in gate slip

    • Sign-out gate slip

  4. Wait for the status message. The print is sent to the same device where the visit was originally signed in.

Important notes

  • Printing again from the dashboard always prints one copy, even if Quantity is set higher for automatic printing.

  • The original device must be online and reachable. If it is off, printing may fail.

  • A sign-out gate slip is only available after the visitor has signed out.
